Constitution and Rules

Parents’- Teachers’ Association ( PTA ) 

1. Name: This Association shall be called Seva Niketan Convent School Parents’-Teachers’ Association. 

2. Objectives – 

1.The Chief aim of the PTA is to promote the welfare of the children at home, in the school and in society. 

2.To create a better understanding between parents and teachers and ensure a harmonious relationship between the school, the home and the community. 

3. To create the necessary consciousness among parents and to stimulate their interest in the school and their children’s curricular and extracurricular activities by organising activities supplementary or complementary to the activities of the school with the consent of the School Management. 

4. To channelize the efforts of the parents teachers and school authorities for the improvement of quality of education imparted by the school. 

5. To provide books and uniforms and to award scholarships and other help to deserving students. 

6. To raise funds for project(s) Association and on behalf of the school. initiated by the 

3. Policy: The PTA will be a purely educational non- commercial, non-sectarian and non-political association. It will not seek to interfere in the administrative policies of the school. It’s role will be purely an advisory one. 

4. Membership and Office Bearers: 

a). The Parents’ -Teachers’ Association shall consist of the Principal of the School, members of the Staff and Parents’ representatives.  

b). All Parents shall be Ordinary Members. This membership, however ceases from the date the child discontinues his/her studies in the school. The membership fees is Rs. 10 per child. 

5. a) One parent representative per division and one teacher representative per standard will be elected at the beginning of each academic year. This membership is only for one year. He / she cannot be re-elected thereafter. The Executive of each shall carry on its functions and duties till the new committee takes over. 

b) The Executive Committee will consist of 

1. President          –   The Principal 

2. Vice-President  –  Parent representative 

3. Secretary          –  Teacher representative 

4. Joint Secretary  – Parent representative 

5. Treasurer           – Teacher representative 

6. Members        – Elected representatives of both parents and teachers. 

6.1. All the funds of the PTA shall be deposited in a bank /post office in the name of the Association and the accounts be operated jointly by any two of the following: President, Secretary and Treasurer or as may be decided by the Executive Committee. All the funds shall be utilised for the attainment of the PTA’s objectives and activities and for payment of the Association’s administrative expenses and for purpose sanctioned by the Executive Committee. 

2. For any special cause other than those mentioned in the objects of the PTA a separate fund shall be constituted for that particular cause and the particular period with the specific sanction of the majority of the Executive Committee. 

7. Meeting: 

1. There shall be an Annual General Meeting in July at which the Annual Report and Statement of PTA Accounts as they stand on 31 May, if found in order, Shall be adopted and the office bearers and other members of the Executive Committee shall be elected in the manner prescribed. 

2. The Executive Committee shall meet at least four times in a year. 

3. If an Executive Committee member continues to remain absent for three successive meetings of the Committee without due notice to the Secretary. He shall cease to be its member. 

4. The quorum of the committee and General Body meeting shall be one-third of its members. In case of lack of quorum, the meeting shall adjourn for half an hour, after which the scheduled business will be transacted. 

5. Five day’s clear notice shall be necessary to call meetings of the Executive Committee and a week’s clear notice to call the Annual General Body Extraordinary Meeting of the General Body. 

6. The accidental omission to issue notice by the Secretary or non-receipt of such a notice by any member shall not invalidate the proceedings of the meeting so called. 

7. A clear three day’s notice of the resolution to be moved at the meeting of the General Body shall be given to the Secretaries. 

8. Accounts: The accounting period of the PTA shall be the academic year. 

9. Elections: The Executive Committee shall have power to devise the procedure for the election of the office bearers. 

10. Voting: All decisions shall be made by a majority of the votes of members present each of whom shall have the right to cast only one vote. 

11. Voting Rights: All members shall exercise full voting rights. 

12. Should it be found desirable to dissolve the Parents-Teachers’ Association, an Extraordinary General Body meeting shall be convened for the specific purpose and for deciding how the funds should be disposed off.
